Browsing, searching and filtering your leads
The Leads page is every person in your workspace in one table, with a search box, Status and Campaign filters, and a Columns picker that includes every column you ever imported.
Where: Leads (left nav) → sidebar: All leads / each list / Suppressed → table toolbar: search box, Status, Campaign, Clear filters, Columns
How to do it
- Open Leads. The header shows how many leads you hold across how many lists, and how many are suppressed.
- Pick a scope in the left sidebar: All leads, one of your lists, or Suppressed (bounced, unsubscribed and blocked people).
- Type in the search box ("Search name, email, company…") — it matches first name, last name, email, company and job title. Every word you type must match somewhere, so "sarah kim" finds Sarah Kim even when first and last name are separate columns.
- Click Status to tick engagement filters (Opened, Replied, Out of office) or status rows (New, Contacted, Meeting, Won, Bounced, Unsubscribed, Blocked). Each row shows a count for the current sidebar scope.
- Click Campaign to tick one or more campaigns; use "Search campaigns…" inside the dropdown to find one. Click Clear filters to reset everything.
- Click Columns (n) to choose which columns show. Standard fields: Person, Email, Status, Campaign, Last activity, Company, Job title, Industry, Employee count, City, Country, Phone, Website. Below them, Imported columns lists every custom column your CSVs created. Show all / Reset are at the bottom.
- Change Per page (25, 50 or 100) at the bottom and page through with the arrows. Click a person's name to open their lead card.
Good to know
- Default columns are Person, Email, Status, Campaign and Last activity. Your column choice is remembered in your browser (per device), not in your account.
- Leads are sorted most recently updated first. Empty values show as an em-dash (—).
- Search uses at most the first 6 words you type; the search waits a quarter of a second after you stop typing before running.
- Status rows combine with OR (New + Contacted shows both). Engagement toggles narrow the result (Opened + Replied means both). The counts in the dropdown ignore the search box and the other filters, so a filter never hides its own numbers.
- Opened = at least one of their emails was opened — any open recorded, including the automatic ones mail-security scanners make on delivery; an email that bounced or was blocked never counts. Replied = at least one real reply — out-of-office and auto-replies left out, as in the campaign numbers — or a lead whose status is Replied. Out of office = has an automatic reply on file.
- The Campaign column shows the lead's most recent campaign. Last activity shows the last thing that happened (e.g. "Step 2 sent", "Replied", "Bounced") or "Imported <date>".
- Suppressed leads (Bounced, Unsubscribed, Blocked) are held out of All leads and every list — they only appear under Suppressed. The counts in the sidebar and the page header leave out bounced and unsubscribed people; a blocked person is still included in the All leads and list counts (and not in the Suppressed count), so those numbers can sit slightly above what the table shows.
- Phone column: when a lead has no phone and your Apollo key is connected (Settings → Integrations), a "Find (Apollo)" button appears; it looks the number up in the background (about 45 seconds max) and shows "No number found" or "Still looking — retry".
- The Imported columns list is discovered from your 5,000 most recently updated leads, so a column that only exists on very old, untouched leads may not appear in the picker until those leads are updated again.
Questions people ask
Why does a lead I imported not show in my list?
If they bounced, unsubscribed or are blocked they live under Suppressed, not in the list. Otherwise check the Status or Campaign filters and click Clear filters.
Can I delete a single lead from the Leads page?
Not from this page. You can delete a whole list (with its leads) using Delete list, or remove a person from a campaign from their lead card inside that campaign.
