Lead tags: label people, one at a time or in bulk

Make your own tags once — Hot, Board member, Met at the webinar — then put them on one lead from their card or a reply, or on hundreds at once from the Leads page. Tags are labels only: they never change what's sent.

Where: Settings → Lead Tags (make, rename, recolour, delete) · Leads → tick rows → Add tag / Remove tag · a lead's card → Record details → Tags · Replies → + Tag under the lead's email

How to do it

  1. Open Settings → Lead Tags (under Data). Type a name under New Tag, pick one of six colours and click Add Tag. You can also make a tag from any tag picker: type a new name and choose Create “name”.
  2. To tag one person, open their card (click their name on Leads, on a campaign's Leads tab or in a LinkedIn campaign's leads) and click + Tag in the Tags row under Record details — or, in Replies, click + Tag under the lead's email. Tick a tag to add it, tick it again to take it off, or click × on a tag.
  3. To tag many at once, go to Leads and tick the people you want; the box in the table header ticks the whole page. When the whole page is ticked and more leads match, click "Select all N that match" to include every lead your list, search and filters match.
  4. In the bar that appears ("N selected"), click Add tag and pick a tag — or type a new name and choose Create — or click Remove tag to take one off. A message says what happened, e.g. "Added “Hot” to 1,204 leads." or "All 25 already had “Hot”."
  5. To see who has a tag, click Tags on the Leads page and tick one or more (a lead with any of them shows), or No tags. In Replies, open Filter Options → Lead Tags.
  6. To rename, recolour or delete a tag, open Settings → Lead Tags. Each tag's lead count opens the Leads page filtered to that tag.

Good to know

  • A tag belongs to the person, not the conversation: tag someone from one reply and every conversation with them shows it.
  • Tags never change sending. They don't start or stop campaigns or subsequences, the reply auto-tagger never reads them, and they don't count in any campaign number. To classify a reply, use Mark lead as in Replies.
  • Limits: up to 100 tags per workspace; names up to 40 characters, without commas or semicolons; six colours (grey, orange, blue, green, peach and dark). Each name is one tag whatever the case — "hot" and "Hot" are the same.
  • Names that reply marks use — Interested, Meeting request, Meeting booked, Question, Not now, Not interested, Out of office (OOO), Wrong person, Referral, Won, Unsubscribed — and Bounced or Blocked can't be tags, so a tag is never mistaken for a classification.
  • Renaming or recolouring a tag changes it on every lead that has it. Deleting one asks first ("Remove “Hot” from 1,204 leads and delete it? This can't be undone.") and takes it off every lead; the leads themselves stay.
  • Adding a tag a lead already has does nothing, so a second click is harmless. Tagging never moves a lead in the list.
  • Every member of the workspace can make, rename, delete and apply tags.
  • On the Leads page each person shows up to three tags under their name, then +N. In Replies, a conversation shows up to two tags: the lead's (in colour) first.
  • Import: a CSV column called Tags, Tag, Lead tags or Labels maps to Lead tags in the import dialog. Each value becomes a tag (split on commas or semicolons) and names you don't have yet are added to your tags. Tags are only ever added on import — a re-import never takes one off — and only the leads the import adds or updates get them. Switch the column to Custom variable to keep it as a {{tags}} field instead.
  • Export: campaign downloads — Download not contacted, the Leads export and a LinkedIn campaign's leads export — include a lead_tags column, with the names joined by "; ".
  • API and Claude: every lead in the API carries its tags; GET /leads?tag= filters by them; POST /leads takes tags per lead; PATCH /leads/{id} takes add_tags and remove_tags. Over the Claude connector, list_leads filters by tags and shows them, add_leads takes them, and tag_leads adds or removes them on up to 500 leads.

Questions people ask

Do lead tags start a subsequence or stop a campaign?
No. Tags are labels only. Subsequences start from reply marks (Mark lead as in Replies), never from lead tags.
What happened to the tags I added to conversations before?
They're still on those conversations, shown with a dashed outline, and Filter Options lists them under Thread Tags. Remove one with ×, or open + Tag and click Make “name” a lead tag to move it onto the person.
Can I tag everyone in a list?
Yes. On Leads pick the list in the sidebar, tick the box in the table header, click Select all N that match, then Add tag.
