One-sentence definitions of the terms you will meet across MailFleet.

How to do it

  1. Workspace — your company's private area in MailFleet: all mailboxes, leads, campaigns, replies and settings belong to one workspace and members of other workspaces can never see it.
  2. Owner / Member — the Owner is the first account in a workspace and the only role that can invite teammates or revoke pending invites; Members can do everything else, including campaigns, leads, replies and Billing.
  3. Sender (mailbox) — a real email account you own, connected over SMTP and IMAP (for Gmail / Google Workspace, an email plus an App Password is enough), that campaigns send from and replies are read from; the sidebar calls the page Mailboxes.
  4. Warmup — automatic low-volume email exchanges between your mailbox and other real mailboxes in the MailFleet network (opened, rescued from spam, replied to) that build reputation before and during campaigns; it never uses credits.
  5. Health score — a 0–100 number per mailbox: 80 when Active, 100 once warmup has started, lower after failures, 50 Unverified, 40 Paused.
  6. Daily limit / gap — per-mailbox ceiling on emails per day — campaign emails, replies and tests (default 30) — and the minimum minutes between two first emails to new leads from that mailbox (default 20; follow-ups in a thread don't wait for it); campaign settings can widen but never shrink the gap.
  7. Lead — one person with an email address, plus optional fields (name, company, job title, city, country, phone, LinkedIn URL, timezone) and custom variables.
  8. List — a named group of leads you import into and reuse across campaigns.
  9. Custom variable — any extra CSV column you keep on import; it becomes a {{variable}} you can write into subjects and bodies.
  10. Lead status — where a person is in your funnel: New (never emailed), Contacted (first email sent), Replied, Meeting, Won (marked won from Replies), Bounced, Unsubscribed (they replied not interested or unsubscribed), Blocked (you added them to the blocklist).
  11. Suppressed — leads with status Bounced, Unsubscribed or Blocked; they are held out of every list and campaign and never emailed again.
  12. Campaign — an email sequence sent to a set of leads from a pool of mailboxes, with a status of Draft, Sending, Paused or Finished.
  13. Sequence — the ordered list of steps in a campaign; the whole sequence stops for a lead the moment they reply.
  14. Step — one item in a sequence: an Automated email (sent for you), a Manual email or a Phone call (which open a task for a person).
  15. Wait — the number of days after the previous step before the next step becomes due, sent only inside the campaign's sending days and window.
  16. Variant — an alternative subject and body for the same step (A/B test); sends are dealt evenly, randomly or by a weighted split (default 50% to variant A) as set in campaign Settings → Behavior.
  17. Sending window / sending days — the hours and weekdays a campaign may send (default Mon–Fri, 09:00–16:30) in the campaign timezone (default UTC) or, if enabled, each lead's own timezone.
  18. Task — a manual-email or phone-call step waiting for a person on the Tasks page; the lead is parked until you send, log the call, skip or snooze it. If the lead replies first, their reply shows in the task's history so you can skip the step — the task does not close on its own.
  19. Subsequence — a short follow-up sequence attached to a campaign that starts automatically when a reply is tagged (for example Meeting request), sending from the same mailbox in the same thread.
  20. Hand-off — feeding a LinkedIn campaign from an email campaign: when a lead does any of the triggers you picked (opens an email, clicks a link, replies, or finishes the email sequence without replying) they leave the email sequence and start the LinkedIn one. For opens, clicks and replies a lead with no LinkedIn URL is looked up first (using your monthly LinkedIn lookups); leads still without one stay put.
  21. Multi Channel campaign — a sequence that mixes automated email, calls, manual tasks and LinkedIn visits, connection requests and messages.
  22. LinkedIn campaign — a LinkedIn-only sequence of profile views, connection requests, messages and conditions, fed by a lead list or by an email campaign, built and managed under Engage → LinkedIn.
  23. Intent — the filter on the Replies page and the counters on campaigns: Interested, Meeting, Question, Not now, plain Reply, or Unsubscribe.
  24. Tag — the single label MailFleet reads onto each reply (Interested, Meeting request, Question, Not now, Not interested, OOO, Wrong person, Referral); campaign Settings → Auto-tagging chooses which may be applied automatically, subsequences start from them, and Not interested removes the person from every campaign.
  25. OOO — an out-of-office or automatic reply; it is tagged but never counted as a reply, and a stated return date holds the lead's next step until they are back.
  26. Lead credits (leads in your workspace) — how many leads your plan lets you keep at once (Basic and the trial 2,000, Pro 30,000, Scale unlimited), from any source; deleting leads frees room, and updates, skipped and duplicate rows take none.
  27. Email credit — one is spent for each campaign email sent, refilled with each monthly renewal; warmup emails and manual replies are free.
  28. Lead Database monthly allowance / LinkedIn lookups — plan limits on how many people you can pull from the Lead Database per calendar month and how many missing LinkedIn URLs can be looked up per month.
  29. Trial — the 7-day free period every new workspace starts on, with room for 2,000 leads and 10,000 email credits.
  30. Custom tracking domain — your own hostname for open and click links, set once for the whole workspace under Settings → Tracking; each mailbox's General tab shows which domain its links use. A tracking domain imported on a mailbox (CSV tracking_domain column) is kept on record but not used for links.
  31. Open / click tracking — per-campaign switches (Settings → Delivery, off by default) that add an invisible pixel and rewrite links; they require plain-text mode to be off. Every recorded open counts, the automatic ones mail-security scanners make included; clicks in the first 5 minutes after sending are scanners and are left out of the numbers.
  32. Bounced / Blocked email — a bounced email was refused because the address is bad (the lead is marked Bounced and stopped everywhere); a blocked email was refused as spam or on policy, usually over the sender's reputation (the address is fine and the lead stays in the sequence). Neither was delivered; Bounced counts only bounces, and blocked emails are shown beside it.
  33. People reached — a campaign's leads with at least one delivered email; its opened, clicked, replied, positive and unsubscribed rates are shares of them.
  34. Progress ring — the circle beside each campaign on the Campaigns list: emails sent out of every email the campaign will send, reading 100% only when nothing is left to send.
  35. Blocklist — email addresses and company domains under Settings → Blocklist that are refused at import, kept out of every campaign and never sent to; Block on a reply adds that person.
  36. Unsubscribe line — the short opt-out sentence appended to every step (on by default, editable in campaign Settings → Protection); a one-click unsubscribe header is always sent as well.
  37. DNS (SPF, DKIM, DMARC) — the three authentication records a sending domain needs; missing SPF or DKIM blocks deploy, missing DMARC is a warning, and a record whose lookup didn't answer shows as "couldn't check" and never blocks.
  38. Deliverability — the share of sent mail that reaches inboxes; Overview shows it as Landed in inbox, and the Deliverability page and hourly checks watch bounce and rejection rates per domain.
  39. Notification — an alert on the Notifications page (and optionally by email) about deliverability, mailboxes, LinkedIn accounts or campaigns.
  40. Reply forwarding / webhooks — Settings → Reply forwarding sends copies of real replies to an inbox; Settings → API & webhooks posts events (sent, opened, clicked, replied, interested, bounced, unsubscribed) to a URL.

Good to know

  • Campaign-lead status (a lead's state inside one campaign) is separate from lead status: Active, Replied, Bounced, Unsubscribed, Finished or Paused.
  • Engagement filters on the Leads page (Opened, Replied, Out of office) are based on what actually happened, not on the status field, and count the way the campaign numbers do: any recorded open on an email that arrived, real replies without out-of-office.
  • Mailbox statuses: Unverified, Active (shown as Warming while its warmup can run and hasn't started or is still ramping up), Disconnected and Paused (by hand or with its domain from Deliverability; no campaign, warmup or test email goes out from it, but replies you write still do, and replies to it still arrive).
  • Unlimited workspaces (managed directly by MailFleet) do not count credits at all; their Billing page says so.
