Questions people ask

How do I connect a mailbox?
Mailboxes → Connect Mailbox → Google Workspace or Microsoft 365 when they're listed, or Mailboxes → Import CSV → Choose a CSV. Use a Smartlead export or a file with Email, SMTP Username, SMTP Password (plus IMAP/SMTP host and port columns if your provider needs them). Mailboxes are verified automatically in the background and turn Active on their own. For one mailbox, upload a one-row CSV.
What does warmup do, and does it cost anything?
It exchanges real emails with real mailboxes across the MailFleet network so your mailbox is opened, rescued from spam and replied to before and during campaigns. Turn it on with the switch in a mailbox's Warmup column, on its Warmup tab, or for many at once with Turn On Warmup. It never uses email credits and does not count toward the mailbox's daily limit.
Do I have to wait for warmup before sending?
No — deploying a campaign checks leads, steps, active senders, DNS and schedule, not warmup. Warmup is recommended for any new mailbox, but the timing is up to you.
How do I import leads and map columns?
Leads → Import CSV. Pick the file and a list, then map each column: Email is the only required field; other columns can be standard fields, a Custom variable {{ }} (usable in your emails) or Don't import. Duplicates, unsubscribed, previously bounced and blocklisted addresses are skipped and cost nothing; the import finishes on the server even if you close the window.
How do leads and email credits work?
Your plan sets how many leads your workspace can keep at once (Basic and the trial 2,000, Pro 30,000, Scale unlimited), from any source — deleting leads frees room, and updates and skipped rows take none. One email credit sends one campaign email, and email credits refill with each monthly renewal. Warmup emails and manual replies are free. Both are shown in the account menu and on Billing.
What comes with the free trial?
7 days, with room for 2,000 leads and 10,000 email credits. When the trial ends you can no longer import or send; before that, a full workspace stops new leads being added and running out of email credits stops sending, until you choose a plan on Billing.
Why can't I deploy my campaign?
Final review lists the blocker: no leads queued, no step with a body, no Active sender available, or a sending domain missing SPF or DKIM. Click Edit next to the failed check. Missing DMARC only warns.
When will emails actually go out?
Within a few minutes of deploying, but only inside the campaign's Sending days and Sending window (default Mon–Fri, 09:00–16:30 in the campaign timezone, default UTC). Each mailbox also keeps its own daily limit and gap, and the campaign admits at most the set number of new leads per day (default 100).
What happens when someone replies?
Their sequence stops in every active campaign before you have read it, the reply appears in Replies with an intent tag, and they count as Replied in the campaign's numbers. A reply tagged Not interested removes them from every campaign. Out-of-office auto-replies are tagged OOO and are not counted as replies; if they give a return date the next step waits until that day, otherwise the sequence carries on.
What do the percentages on the Campaigns list mean?
Opened is emails: the delivered emails opened (any recorded open, including the automatic ones mail-security scanners make) as a share of emails sent. Clicked, Replied, Positive and Unsubscribed count people, as a share of the people your emails reached (leads with at least one delivered email). Clicks in the first 5 minutes after sending are left out — scanners follow every link on delivery — and Replied leaves out out-of-office and auto-replies. Bounced is emails that bounced (bad address) as a share of emails sent; emails blocked as spam are shown separately in its hover. The ring is emails sent out of all the campaign will send.
How often are replies checked, and can I force a check?
Every connected mailbox is polled about every 30 seconds. Click Fetch New Replies on the Replies page to check immediately.
Which address does my reply go from?
Always the mailbox the person wrote to, in the same thread — even while that mailbox is paused. Their sequence stays stopped; the conversation stays in your Inbox until you archive it, mark it Won or block it.
How do I stop emailing someone for good?
Click Block on their reply, or add their email or company domain under Settings → Blocklist (paste or upload a CSV). Blocked people are refused at import, left out of every campaign and never sent to. Unblock returns them to New.
Can my teammates use the same workspace?
Yes. The Owner invites them from Settings → Members → Invite a teammate → Send invite. Invites last 7 days; invitees join as Members and share every mailbox, lead, campaign and reply in that workspace and nothing outside it.
I forgot my password — how do I get in?
On the login page click Forgot your password? Email me a sign-in code, enter your work email, then enter the 6-digit code that arrives (valid 10 minutes) and click Sign In. There is no separate password-reset form.
What are the Notifications and why am I getting emails?
Notifications collects alerts about deliverability, disconnected mailboxes, LinkedIn accounts and campaign events. Each kind is also emailed to every workspace member by default; turn a kind's email off under Settings → Notifications → Email me.
