Find a lead's phone number with Apollo
Look up a lead's personal mobile or direct-dial number from your own Apollo.io account, from a call task or the Calls page.
Where: Workspace → Settings → Integrations → "Apollo.io API key"; then Tasks → call task → "Find number (Apollo)" or Calls → lead row → "Enrich Number"
How to do it
- In Apollo go to Settings → Integrations → API and copy an API key. In MailFleet open Settings → Integrations, paste it into "Apollo.io API key" and save (the label shows "· connected"; Disconnect removes it).
- On a call task without a number press "Find number (Apollo)", or on the Calls page press "Enrich Number" next to a lead.
- Wait: on a call task the status reads "Looking up via Apollo…" then "Found — reloading."; on the Calls page the row shows "Finding number…" then "Number found for <name> — saved to the lead." If Apollo has no personal number, it says so ("No number found in Apollo.").
Good to know
- The lookup needs the lead's email, or a first name plus company (or website). Otherwise: "This lead needs an email, or a name plus company, to look up."
- Apollo returns the number a little later; MailFleet polls for about 45 seconds and then says "Still looking — try again shortly." — the number still lands when Apollo delivers it.
- Only the person's own mobile or direct line is ever saved. A company switchboard number is never used, so a lead who only has an HQ number shows as "no number found".
- Lookups spend credits from your Apollo account, not MailFleet credits. Errors are passed through: "Apollo rejected the API key. Check it in Settings → Integrations." or "Apollo rate limit hit — try again shortly."
- The key is stored encrypted and used for phone enrichment and, when the MailFleet Lead Database cannot identify a lead, for LinkedIn profile URL lookups (see "Leads need a LinkedIn profile URL") — both spend credits from your Apollo account. Without a key the button reports "Connect Apollo first — add your API key in Settings → Integrations."
