Reply tags and auto-tagging

Every reply is read and given one of eight tags that says what it means, so you can filter the queue and trigger subsequences without reading each message first.

How to do it

  1. Open your campaign's Settings and click the Auto-tagging tab.
  2. Tick the tags MailFleet may apply on this campaign. All eight are on by default. Use Select all or Turn off auto-tagging for the extremes.
  3. Go to Replies. Each conversation's tag is its label in the list and the value shown under Mark lead as, at the top right of the lead.
  4. To change it by hand, open Mark lead as and pick another tag — it replaces the current one, exactly as if the tagger had chosen it. For your own labels, click + Tag under the lead's email and type a name (Enter saves); click × on a tag to remove it.
  5. Open Filter Options (the funnel next to the search box), choose Specific Lead Category, pick one or more tags and click Apply to see every conversation carrying them.

Good to know

  • The eight automatic tags and what each means: Interested — positive, wants to hear more, keen to proceed. Meeting request — asks for a call, a time, a demo or a calendar link. Question — asks something before deciding (pricing, details, how it works). Not now — timing: busy, later, next quarter, circle back. Not interested — a clear no, or asks to stop; removes the lead from every campaign. OOO — out of office or an automatic reply; never counted as a reply. Wrong person — says they are not the right contact. Referral — points you to someone else who should handle it.
  • Exactly one automatic tag is applied per reply. Unambiguous cases are decided by rules instantly — an out-of-office; a stop or decline phrase such as "unsubscribe", "remove me", "not interested", "no thanks", "not for us" or "we already have a provider" (tagged Not interested); a calendar link or clear ask for a time. Everything else is read by AI, which sees only what the person wrote (quoted history and signatures are stripped) and picks the closest tag; if the AI is unavailable, the rules' best reading is used.
  • Each tag also sets the reply's intent (what campaign counts and the API use): Interested → Interested, Meeting request → Meeting, Question → Question, Not now → Not now, Not interested → Unsubscribe. OOO, Wrong person and Referral count as a plain reply.
  • A tag you untick in Auto-tagging is never applied automatically on that campaign — the reply then falls back to the simple keyword reading for its intent — but you can still apply it by hand with Mark lead as.
  • Mark lead as also offers three marks the tagger never sets: Meeting booked (sets the lead to Meeting), Won (sets the lead to Won and archives the conversation) and Unsubscribed (after you confirm, sets the lead to Unsubscribed and stops every campaign).
  • Subsequences start from these tags: a switched-on subsequence whose trigger includes the tag enrols the person automatically. Picking a tag in Mark lead as starts them too — only when it's a change, so picking the tag a conversation already has starts nothing — and the confirmation says how many started.
  • Marking Not interested by hand does not remove the person from campaigns — only the automatic reading does that. Pick Unsubscribed in Mark lead as, or More → Block Lead, to stop them everywhere.
  • A follow-up message in an existing thread is tagged as well, so "tell me more" followed by "yes, Tuesday works" picks up Meeting request and can start a subsequence; the thread's intent filter keeps its original classification.
  • Up to 20 tags per conversation, 40 characters each.
  • Every automatic tag is also sent to your webhooks as "Reply tagged" (Settings → API & webhooks). A tag you add by hand can start subsequences but is not sent to webhooks.

Questions people ask

Can I turn auto-tagging off?
Yes, per campaign: Settings → Auto-tagging → Turn off auto-tagging. Replies still get an intent from simple keyword matching (so "unsubscribe" still removes the person), but no tag is applied.
Why is a reply tagged Not interested when it was a friendly no?
Because that is what Not interested means — a clear no or a request to stop, however polite. It removes the person from every campaign and marks them Unsubscribed; if that was wrong, change the tag, then go to Settings → Blocklist → Blocked people and click Unblock (they return to New) before enrolling them again from Leads.
