Conversation actions: call, tasks, notes, snooze, push, replace, pause and block

Everything you can do from the bar above a lead — call them, set a follow-up, leave a note, push them into another campaign, replace the contact, pause or block — plus Log a Reply for answers that arrived elsewhere.

How to do it

  1. Call Lead opens the dialer with their number when you have the Calls add-on, or your phone app otherwise. With no number yet and Apollo connected, the button reads Find Number and looks up their direct line.
  2. Add Task: pick Tomorrow, In 3 days or Next week. A "Follow up with <name>" task is added to the timeline, the conversation is snoozed until 9:00 that day and the list shows "Task · <date>". Tick the box in the timeline when it's done.
  3. Note: write something for your team and click Save Note. Notes are never emailed and show on every conversation with that person.
  4. Push To Campaign: pick one of this campaign's subsequences or any other campaign. The person starts it at step 1; the stopped sequence stays stopped.
  5. The star marks the conversation Important; Snooze hides it until later today, tomorrow or next week; Archive moves it to Archived (the same button moves it back); Assign To hands it to a teammate (by default it belongs to whoever launched the campaign).
  6. More → Replace Lead: when you reached the wrong person, enter the right contact's name and work email. They are added as a lead with the same company details and start this campaign at step 1.
  7. More → Create Deal: puts this conversation on the Deals board — the company, the person as its contact, the campaign and the owner are filled in from the thread — and opens the deal on its Tasks tab so you can add the next step.

  9. Log a Reply: click Log a Reply in the header, fill in From email, Name, Intent (Interested, Meeting, Question, Not now, Neutral, Unsubscribe) and Message, then click Log Reply.

Good to know

  • Every action confirms with a short message at the bottom of the screen.
  • Snooze: a snoozed conversation leaves the Inbox and waits in Snoozed until its time, then comes back to the top of the Inbox. A new message from the person brings it back at once. Unsnooze, in the same menu, brings it back now.
  • Pause Lead sets every enrolment still sending to them to Paused — no more steps go out from any campaign. Resume Lead sets them back, and the next step goes out in the next sending window. After a real reply there is usually nothing left sending, and the menu says "Nothing is sending to them".
  • Block Domain adds their company domain to Settings → Blocklist: everyone at that domain is stopped in every campaign and refused on import, enrolment and send. Free-mail providers such as gmail.com or outlook.com can't be blocked this way — block the person instead. Unblock Domain removes the entry; people already blocked stay blocked until you unblock them.
  • Block Lead sets the lead to Blocked, stops them in every campaign, and adds their address to Settings → Blocklist with the reason "blocked from a reply", so they are refused on import, enrolment and send — even if the lead is later deleted. Unblock Lead (same menu) returns them to New and removes that address entry. An Unsubscribed person can't be unblocked from here.
  • Mark as Unread puts the dot and the badge back; the conversation is marked read again the next time you open it.
  • Push To Campaign follows the normal enrolment rules: someone unsubscribed, blocked or bounced can't be pushed, a blocklisted address is refused, and pushing someone into a campaign they're already in just says so. A campaign that isn't sending yet holds them until you start it; a subsequence that's switched off holds them until you turn it on.
  • Replace Lead copies the company, website, industry, headcount, country and timezone from the original lead — not their title, phone, LinkedIn or custom fields — into the same list (or a list called "Replacement leads"). It takes room for one lead in your workspace like any import and refuses an address that is blocked, unsubscribed or bounced. The first email goes from whichever mailbox the campaign picks, and a note on the conversation records the replacement.
  • Keyboard shortcuts are two keys pressed one after the other: R L replace lead, P L pause / resume lead, B L block / unblock domain, U L mark as unread, K S keyboard shortcuts; Esc closes any menu. They pause while you're typing.
  • Star, snooze, archive and assign act on the whole conversation for that person, not just the latest message.
  • Log a Reply matches the address to a lead if one exists and behaves like a real inbound reply: the lead becomes Replied, their active sequences stop, and the campaign's Replied (and Interested for Interested/Meeting) counts move if it is their first reply. Choosing Intent "Unsubscribe" only labels the thread — it does not remove them from campaigns; use Block Lead for that.
  • A logged reply is credited to the campaign that last emailed the person (or their newest enrolment if never emailed).

Questions people ask

I blocked someone by mistake — how do I undo it?
Open the conversation → More → Unblock Lead, or Settings → Blocklist → Blocked people → Unblock. They return to New and their address is removed from the blocklist entries. A domain entry stays until you use Unblock Domain or delete it on the Blocklist page.
Can I push someone into a subsequence that isn't switched on?
Yes — they are enrolled, but nothing sends until you turn the subsequence on; the confirmation tells you so.
Does Add Task show up on the Tasks page?
No — a follow-up task lives on the conversation. The conversation comes back to the top of your Inbox when it's due, with the task in its timeline to tick off.
