Replying from the queue

Answer a reply without leaving MailFleet — it goes out from the same address the person wrote to, with your signature, and stays in the conversation. Forward a message to a colleague the same way.

Where: Replies → open a conversation → the reply bar at the bottom ("Reply to <name>…"), or the reply and forward arrows on their message → Send Reply / Forward / Attach

How to do it

  1. Open the conversation in Replies.
  2. Click the reply bar at the bottom (it reads "Reply to <first name>…" and "from <mailbox>") or the reply arrow on their message. The editor shows From <mailbox> and To <their email>.
  3. Optional: click Attach to add files. Each file appears as a chip with its size; click × to remove one.
  4. Click Send Reply (or press ⌘/Ctrl+Enter). Your answer appears in the timeline as "You replied", and the hint under the box reads "Sends in this thread. The sequence stays stopped." Discard closes the editor; an unsent reply is kept for that conversation until you send it or clear it.
  5. To pass a message to a colleague, click the forward arrow on it, enter up to 5 addresses in To, add a note if you like and click Forward. It goes from the same mailbox with the original quoted underneath, and the timeline records who you forwarded it to.

Good to know

  • The reply is sent from the mailbox that received the message. If the thread has no mailbox (a LinkedIn message or a reply you logged by hand), it goes from your first Active mailbox instead.
  • The subject is the original one with "Re:" in front (kept as-is if it already starts with Re:), so mail clients thread it with the conversation.
  • Your mailbox signature (set on the sender under Mailboxes) is appended automatically.
  • Attachments: up to 10 files per reply, 5 MB per file, 15 MB in total. They are sent with the message and not stored in MailFleet; the conversation shows a 📎 line listing the file names.
  • A reply uses one send from that mailbox's daily limit (a forward, one per person), and goes out even while the mailbox is paused — a pause holds campaign, warmup and test emails, not what you write here. If the mailbox is at its limit, or is Disconnected or Unverified, you'll see "Daily limit reached." or "Mailbox is not active." and nothing is sent — reconnect a disconnected mailbox to answer from it.
  • Sending does not archive the conversation or restart anything — the sequence stays stopped and the conversation stays where it is. Archive it, or mark it Won, when it's closed.
  • Replying to a LinkedIn message from the queue sends an email to the person's email address from your first Active mailbox — it does not send a LinkedIn message.
  • If replies are also forwarded to your inbox, you can answer from there instead: the forwarded copy's Reply-To is the lead, so a normal reply goes straight to them — but from that inbox, not from your warmed mailbox.
  • Forwarding sends from the mailbox the reply arrived on, without your signature, to up to 5 addresses at once (100 forwards a day per workspace); attachments work as in a reply. Only a message on that conversation can be forwarded.
  • When the mailbox has a BCC to CRM address (Mailboxes → the mailbox → General), your reply is copied to it, and a forward is copied once — not once per person.

Questions people ask

Can I change which mailbox the reply goes from?
Not per reply — it always uses the mailbox they wrote to, so the conversation stays on one address.
Why did Send Reply fail with "Daily limit reached"?
That mailbox has already used its daily sending limit today. Raise the limit on the sender under Mailboxes or wait until tomorrow.
