Reply forwarding
Get a copy of every real reply in the inbox where you actually work — one default address, or a different inbox per mailbox — and answer straight from there.
Where: Settings → Reply forwarding → Default address / Dedicated forwarding → Add rule
How to do it
- Go to Settings → Reply forwarding.
- Under Reply forwarding, type an address in Default address (e.g. you@company.com) and click Save. Click Send test to receive a sample forwarded reply — "Test sent to … — check that inbox (and spam)."
- To route some mailboxes elsewhere, click Add rule under Dedicated forwarding. Enter the inbox in "Forward these replies to", tick the mailboxes in the list (use Search mailboxes, Select all / Select all shown, Clear), then click Add rule.
- Use the icons on a rule to send a test, edit it (Save changes) or delete it.
- Open a forwarded conversation in Replies: the line under the lead's name shows "forwarded to <address>" so you can confirm where it went.
Good to know
- Only real replies are forwarded. Warmup mail, out-of-office and automatic replies, and bounce reports never are.
- The default address is used by every mailbox that isn't in a dedicated rule, and by LinkedIn replies (which have no mailbox). Leave it blank and Save to turn default forwarding off ("Default forwarding turned off.").
- Replies received by a mailbox go to every dedicated rule that names it — a mailbox can sit in several rules, and several rules can share an address; the same address is never sent two copies. A mailbox with at least one rule does not also go to the default address.
- Every message is forwarded, including follow-ups in an existing thread.
- The forwarded copy arrives from MailFleet's notification sender with the subject "↩ <name>: <original subject>" and a header line "Reply from <name> <email>", plus Company, Campaign and "Received by: <mailbox>". Its Reply-To is the lead, so replying from your inbox goes straight to them — from that inbox, not from your warmed mailbox. Reply from MailFleet instead to keep the conversation on the original address.
- Validation: "Enter a valid email address." and "Pick at least one mailbox."; a rule can hold up to 1,000 mailboxes. You need at least one connected mailbox ("Connect a mailbox under Senders first.").
- While picking mailboxes, "also → other@…" next to a mailbox tells you it is already in another rule; a mailbox that isn't Active shows its status.
- If a mailbox in a rule is later removed, the rule shows "The mailboxes in this rule were removed — edit it or delete it."
- Prefer structured data over email? Settings → API & webhooks posts Reply received, Reply — interested, Reply tagged, Email bounced and Lead unsubscribed to your CRM, Zapier or Slack.
- To send one message to a colleague by hand instead, use the forward arrow on it in Replies — that goes from your mailbox and is recorded in the conversation's timeline.
Questions people ask
Why don't I get out-of-office replies forwarded?
By design — only real replies are forwarded, so an autoresponder never spams your inbox. They are still visible in Replies.
Send test says email sending isn't configured — what now?
The MailFleet server has no notification mailer set up. Contact support; forwarding can't deliver until it is.
