Save and reuse emails: email templates
Save an email once and insert it into any email step of a campaign, a subsequence or a Multi Channel sequence.
Where: Sidebar → Infrastructure → Templates → "Email Templates". In a sequence: "Insert Template" and "Save as Template" above an email step's Subject.
How to do it
- Open Templates and click "New Template". Name it, write a subject (optional) and the email. Use the variables menu for {{first_name}} and your own columns, fallbacks like {{first_name|there}} and choices like {Hi|Hello}.
- Leave "Add the mailbox signature when a step using this template sends" on, or turn it off if the email carries its own sign-off. Check the preview and click "Save Template".
- In a campaign's Sequence tab, select an automated or manual email step and click "Insert Template". Search, pick one (arrow keys and Enter work too), check the preview and click "Insert" ("Replace" when the step already has text).
- Changed your mind? Click "Undo" next to "Inserted …" to put the step back as it was.
- To keep a step you wrote, click "Save as Template", name it and save. Multi Channel email and manual email steps have the same two buttons.
Good to know
- Inserting copies the template into the step. Editing or deleting the template later never changes a campaign that already uses it.
- A template with no subject leaves the step's subject as it is. On a follow-up whose subject is empty, "Keep this follow-up in the same thread" is ticked, so the template's subject isn't used; untick it to use it. A campaign's first email needs a subject of its own.
- Variables fill in for each lead. If a lead has no first name, last name, company, title, city or email, a step that uses it without a fallback is skipped for them (on a manual email step, their task opens with the gap to fill in); any other empty variable is left blank. Add a fallback like {{first_name|there}} to fill the gap.
- Every A/B variant has its own Insert Template and Save as Template. Inserting into the step doesn't change its variants.
- On a manual email step, open tasks from that step show the new draft unless someone already edited it.
- Prompt steps, where Claude writes each email, and call and LinkedIn steps don't use templates.
- Attachments stay with the step; a template keeps the subject, the email and the signature setting.
- Up to 200 email templates per workspace; a subject can be up to 998 characters and an email up to 20,000.
- Everyone in the workspace sees and edits the same templates. Switching workspaces shows that workspace's templates.
Questions people ask
If I edit a template, do my campaigns change?
