Warm up with your own words: warmup templates
Write your own warmup email with {choices} and {{variables}}, and send it from all or chosen mailboxes in place of about half of their usual warmup emails.
Where: Mailboxes → "Warmup Templates" tab → "New Template"
How to do it
- Open Mailboxes → Warmup Templates and click "New Template" (or "Use an Example" in the editor to start from a ready-made one).
- Name it, write a subject with choices like {Quick question|Catching up}, and write the email. {Hi|Hello|Hey} picks one each time; "Insert Variable" adds {{first_name|there}}, {{sender_first_name}}, {{sender_name}}, {{day}} or {{time_of_day}}.
- Under "Send From" keep "All mailboxes" or choose some. Only mailboxes whose warmup is running send it — choosing one doesn't turn its warmup on.
- Check the three versions in the preview, fix anything listed under "Fix these to save:", and click "Save Template". It's on straight away (unless MailFleet has stopped one of your templates — then it starts off, see below); the switch on its card turns it off.
Good to know
- About half of each chosen mailbox's warmup emails use its templates, alternating with MailFleet's own; several templates on one mailbox take turns at random. Volume, gap, ramp and reply rate don't change.
- Templates are sent as part of your mailboxes' warmup — never to your leads. Don't put anything private in one.
- Every template email is sent as plain text, with a warmup tag added on its own line at the end.
- Variables work in the email only. {{first_name}} is the recipient's first name, or "there" (or your fallback, like {{first_name|friend}}) when it has none.
- Saving is refused while anything is wrong: the subject must be writable at least 5 ways and the email at least 20; subjects can't use variables or start with "Re:" or "Fwd:"; links, web or email addresses, file names, phone numbers, social handles, HTML, prices, spam or phishing words, words like "warmup" or "test", long codes, more than two words in capitals and "!!" can't be used.
- Each card shows the last 14 days — sent, in the inbox, moved out of spam, replied, not checked yet — next to MailFleet's own warmup from the same mailboxes, and warns when the template lands in spam clearly more often.
- If a send using a template fails, that mailbox uses MailFleet's own warmup emails for the rest of the day, and the card says so.
- Up to 20 templates per workspace. Templates pause while your plan has ended, and the MailFleet team can pause them all or stop one. While one of your templates is stopped, new templates start off, none can be turned on, one that's on can't have its text changed, and the stopped one's subject and email can't be changed, nor can it be deleted — write to support@mailfleet.co.
Questions people ask
Why only about half?
Mixing your wording with MailFleet's keeps warmup traffic varied, limits the effect of one template, and gives the card an honest comparison from the same mailboxes.
Who receives my template?
It goes out only as warmup, never to your leads. Warmup emails are opened, moved out of spam and replied to.
Why does my template say "Not sending"?
None of its mailboxes has warmup running (on, Active, with IMAP and a volume above 0), its chosen mailboxes were all deleted, or its wording needs fixing. The card says which; a template that's switched off or paused says so instead.
