Warmup settings per mailbox
Control each mailbox's warmup volume, ramp-up, day-to-day randomisation, reply rate and inbound reply cap from its Warmup tab.
Where: Mailboxes → open a mailbox → "Warmup" tab → "Save Changes". Quick Settings (the pencil on its row) for on/off, emails per day, gap and reply rate. In bulk: select rows → "Turn On Warmup", or "Bulk Edit" → Warmup tab → switch to Overwrite
How to do it
- Turn on the "Email Warmup" switch (only possible while the mailbox is Active and has IMAP — resume a paused one first). If its volume is 0 with no randomise range, switching on fills in 20 a day. Once warmup is running, the badge beside it shows where it is, e.g. "Day 3 · 12/day today".
- Set "Warmup Emails Per Day" with the slider or the box (0–100) — the most this mailbox sends to the warmup network a day.
- Optionally switch on "Daily Ramp-Up" and set "+N per day" (suggested 5). The line beside it says when it reaches the full volume, e.g. "Reaches 20/day on Oct 2 · day 4".
- Optionally switch on "Randomise Daily Volume" and set a range ("N to M emails a day"); each day then sends a different number inside it instead of the fixed volume.
- Set "Reply Rate" (0–100%; 30% is a good start — a newly connected mailbox is at 0 unless its CSV set one) — the share of its warmup emails the receiving mailboxes answer.
- Set "Replies To Inbound Warmup" (0–100 a day) — the most warmup emails this mailbox answers a day; 0 ("No cap") leaves it to each sender's reply rate.
- Click "Save Changes" in the bar at the bottom of the page ("Discard" undoes every unsaved edit).
Good to know
- Ramp-up: today's target is capped at increment × (days since its first warmup email + 1), so +5 a day reaches a 20/day volume on day 4. Ramp-up only shapes warmup volume — it does not change the campaign daily limit.
- Randomise picks a value between the two numbers once per day per mailbox (it stays fixed for the whole day). When a range is set, it replaces the single per-day value.
- The Mailboxes list shows the result: "Ramping · N/day" while the ramp holds today's target below the configured volume (the daily volume, or the top of a randomise range), otherwise "N/day · R% reply" ("min–max/day" when randomised), "Needs IMAP to warm" when it's on without IMAP, or "Not warming". The status pill reads Warming while warmup can run (on, with IMAP and a volume above 0) and hasn't started or is still ramping; the mailbox's own page uses the same rule.
- Warmup Identifier Tag (bottom of the tab): your workspace's code word, carried by every warmup email your mailboxes receive along with an X-MailFleet-Warmup-Code header. It's the same for every mailbox and read-only; "Copy Tag" copies it for an inbox filter.
- The gap between a mailbox's warmup emails (default 30 minutes, 1–1440) is set in Quick Settings ("Gap (Minutes)") or Bulk Edit → Warmup → "Gap (Minutes)"; the Warmup tab keeps whatever it has.
- "Turn On Warmup" in the selection bar switches warmup on for the selected mailboxes that are active with warmup off and keeps each one's own settings (one with no volume set — 0 a day, no range — gets 20 a day); mailboxes already warming are left exactly as they are. Bulk Edit → Warmup instead replaces the warmup configuration on every selected mailbox and clears any randomise range; enabling there only applies to active mailboxes ("N of M aren't active — these warmup settings only apply to the N that are.").
- Per-day values accept 0–100 (Bulk Edit defaults: 20/day, 30-minute gap, 30% reply rate). CSV imports clamp warmup per day to 0–20.
- Reply rate is met deterministically within each day: partners reply exactly as often as needed to keep the realised rate at your setting, rather than by chance. Changing the rate takes effect the same day.
- Turning warmup off keeps its settings for when you turn it back on. While a mailbox is paused no warmup goes out from it, even with warmup on.
- Warmup emails and replies never count toward the mailbox's daily limit.
