Reply-to address and BCC to CRM
Per mailbox you can make replies go to a different address, and copy the mailbox's real correspondence — campaign emails, replies and forwards — to your CRM with a BCC address. Warmup and test emails are never copied.
Where: Mailboxes → open a mailbox → General tab → Sender Identity → "Send replies to a different address" → the reply-to address; "BCC to CRM" → "BCC Address" → "Save Changes"
How to do it
- Open the mailbox → General tab.
- Under Sender Identity, tick "Send replies to a different address" and enter the address (placeholder shows replies@yourdomain).
- Under "BCC to CRM", enter one address in "BCC Address" — the address your CRM gives you for logging emails (placeholder bcc@yourcrm.com). Leave it blank for no copies.
- Click "Save Changes" in the bar at the bottom of the page. The field takes one email address, and it can't be one of your connected mailboxes: anything else is refused (for one of your mailboxes: "That's one of your connected mailboxes — use your CRM's BCC address.").
Good to know
- The reply-to address is stamped on campaign emails, task emails, replies, forwards and test sends from that mailbox (not on warmup emails). Leaving the box unticked clears it.
- What is copied to the BCC address: automated campaign emails (email and Multi Channel campaigns, and subsequences), manual emails sent from Tasks, replies you send from Replies (or through Claude's send_reply) and forwards. Never copied: warmup emails, test emails (Send Test on a mailbox, or a step's test send) and MailFleet's own system mail.
- The copy is added on delivery only — the email carries no Bcc header — so the lead never sees the CRM address.
- The copy is the same email the lead gets, so a CRM that loads its images can register an open on it.
- A forward to several people goes out as one email per person; the CRM gets one copy (with the first), or none when the CRM address is one of the people you forwarded it to.
- No copy is sent, and the email goes out as normal, when the saved value isn't one email address (for example "a@x.com, b@x.com" from an import — the General tab says so until you change it), when it is the mailbox's own address (the tab says so: a copy there would land in the inbox MailFleet reads for replies), or when the CRM address is already a recipient of that email.
- If the CRM address is refused, the email to the lead still goes out; only the copy is lost. If the lead's address is refused — while sending, or by a bounce later — the send fails or bounces exactly as it would without a copy, but the CRM may still have received its copy.
- A bounce or delivery notice about the CRM address never marks the lead bounced and doesn't show in Replies, and an automatic reply from the CRM address (an acknowledgement or out-of-office) isn't logged as the lead's reply.
- A copy doesn't take another slot from the mailbox's Emails Per Day — each email counts once. Your email provider may still count the CRM address as a recipient toward its own daily limits (Google Workspace limits recipients per day as well as messages).
- Both fields accept up to 320 characters and can also be set on import with the reply_to and bcc CSV columns.
- Reply detection still reads the mailbox's own inbox; if replies are redirected elsewhere, make sure that inbox is one MailFleet can read or use Settings → Reply forwarding instead.
