Email signature (text or HTML, with links)
Each mailbox has its own signature, written as plain text or HTML, that is appended to every campaign email, manual reply and test send from it. It can carry clickable links, such as a booking page or your website.
Where: Mailboxes → open a mailbox → General tab → "Signature" (Text / HTML, Preview) → "Save Changes". Also in Quick Settings (the pencil on its row). In bulk: select rows → "Bulk Edit" → Signature tab → switch to Overwrite
How to do it
- Open the mailbox → General tab and find Signature ("Added under the emails this mailbox sends, unless a campaign step turns it off.").
- Choose "Text" and type it (line breaks are kept), or "HTML" and paste or write HTML. In HTML mode the toolbar also adds Bold, Italic, or an Image from a URL.
- To add a link in either mode, put the cursor where it goes (or select the words to link), click "Link", enter the web address (or an email address) and the words to show — for example "Book a call" — and click "Add Link". In Text mode the link shows in the box as
[words](address), for example[Book a call](https://example.com/call); you can also type it that way. The Preview shows it as the link it sends as. - Check the Preview beside it, which shows the signature under a sample line of copy the way it sends. A mailbox imported with a signature column and nothing written here opens with that imported signature in the editor (as HTML) — its emails use it as it is until you save an edit, which replaces it.
- Click "Save Changes" in the bar at the bottom of the page ("Discard" undoes every unsaved edit).
- For a quick change, the pencil on the mailbox's row opens Quick Settings with the same Text / HTML signature, an "Add Link" button and a preview.
- To give many mailboxes the same signature, tick them, open Bulk Edit → Signature, switch to Overwrite, pick Text or HTML, paste ("Add Link" adds a link there too), and Apply.
Good to know
- Limits: text up to 5,000 characters; HTML up to 20,000.
- HTML is sanitised before sending: scripts, <style> blocks, iframes, embedded objects, inline event handlers and javascript:/data: links are removed; inline styles, images and links are kept.
- Only web addresses (http:// or https://) and email addresses become links. Anything else, such as a javascript: address, is never a link: in Text mode it goes out as the plain characters you typed.
- A link goes out as a clickable link. Email apps that show only plain text get it as "words (address)", for example "Book a call (https://example.com/call)", so it still works there.
- Links in a signature are not click-tracked: they always point straight at their address, even when the campaign tracks clicks on the links in the email itself.
- Switching between Text and HTML converts the signature: line breaks and links are kept both ways, and HTML → Text drops the rest of the formatting (bold, images, styles). Switching straight back restores what you had.
- The signature is added at send time, so editing it changes future emails only. Emails already sent keep what they had.
- Merge tags such as {{first_name}} are not replaced inside signatures — the signature is appended after personalisation, so a tag would go out exactly as typed. Write the real name.
- If the chosen mode is empty, MailFleet falls back to the other mode's content, then to a legacy signature column imported by CSV, then to nothing.
- A sequence step can skip the signature: in the builder, untick "Add the mailbox signature when this step sends" (each A/B variant has its own tick box).
