Filter, search and sort the Mailboxes list
Narrow the Mailboxes list with the quick filters (Provider, Status, Warmup, Health, Client Tag), More Filters and search, sort any column, and act on exactly what is shown.
Where: Mailboxes → toolbar: search box, Provider / Status / Warmup / Health / Client Tag dropdowns, "More Filters", "Clear", the "N of M" count
How to do it
- Type in the search box ("Search name, email, domain, tag…") to match a mailbox's name, address, domain, tags or client tag.
- Pick a value in any quick filter — Provider: Google, Microsoft, Other; Status: Active, Paused, Disconnected, Unverified, Needs Action; Warmup: On, Ramping Up, Off; Health: 90 – 100, 75 – 89, Under 75; Client Tag: each client name in use, or No Client. Filters combine.
- Open "More Filters" for the rest: "Show only mailboxes that are" and "Hide mailboxes that are" (Disconnected, Paused, No Signature, DMARC Missing, Bounce Above 2%, Health Under 75, Not In A Campaign), Warmup Include / Exclude (Warmup On, Ramping Up, Warmup Off), "Warmup Reputation Range" in % (typed high-to-low, it's read low-to-high), and Campaigns (Only mailboxes in / Not in). The footer counts how many mailboxes would match; click "Apply" (or "Cancel"; "Clear All" empties the panel). The button then shows how many conditions are set.
- Click "Clear" to reset every filter; "N of M" shows how many mailboxes are shown.
- Click a column heading (Mailbox, Campaigns, Sent Today, Warmup, Last 7 Days, Health) to sort; click again to reverse, and a third time to go back to the list's own order.
- Tick the header checkbox to select everything shown, then use the selection bar.
Good to know
- The count beside each dropdown option respects the other filters and the search.
- Provider comes from how the mailbox connects: Google and Microsoft by their mail servers or sign-in; everything else (SMTP relays, your own server) is Other.
- Needs Action = anything with an issue: Disconnected, Unverified, DMARC missing, SPF or DKIM missing, a 7-day bounce rate above 2%, or an Active mailbox with health under 75. The Needs Action card lists how many of each. Only a record DNS says isn't there counts as missing — one whose lookup didn't answer shows "Couldn't check …" and isn't an issue.
- Ramping Up = warmup can run (on, with IMAP and a volume above 0) and the daily ramp-up still holds today's target below its configured volume (the daily volume, or the top of a randomise range). The Warmup dropdown's "On" includes those; in More Filters "Warmup On" means on and not ramping.
- Warmup reputation range: mailboxes with no processed warmup in the last 14 days fall outside any range.
- Not In A Campaign = in no sending or paused campaign with an email step (automated, or a manual email sent from Tasks). Campaigns that picked no mailboxes use every active mailbox, so they count for each one.
- Sorting: Sent Today sorts by the share of the daily limit used; Warmup by warmup reputation; Last 7 Days by reply rate (nothing measured sorts lowest).
- Columns: Mailbox (name, status, address, client and tags), Campaigns (hover for their names), Sent Today (sent / limit — campaign emails, replies and tests), Gap, Warmup (switch, reputation and pace), Last 7 Days (a bar per day of emails sent from it, with the reply rate — replies ÷ emails sent — and the bounce rate — bounces ÷ attempts, where a send the provider refused outright counts as both), Health.
- Clicking the Connected, Average Health or Needs Action card sets the matching filter; click it again to clear it.
- Filters and sorting reset when you reload the page.
