Delete a mailbox, or remove it from all campaigns

Deleting a mailbox removes its stored credentials and takes it out of every campaign. A campaign that sent only from it is paused until you pick another mailbox, rather than switched to all of them. To keep the mailbox but stop campaigns picking it, remove it from all campaigns — or pause it.

How to do it

  1. One mailbox: row ⋯ → "Delete Mailbox" (or on its page, ⋯ → "Delete Mailbox"). Several: tick them → "Delete". Either way a "Delete N Mailboxes?" dialog lists them — "This disconnects the selected mailboxes and removes them from every campaign. Campaigns set to use all mailboxes, or that pick others too, carry on with the rest." — and names any sending or paused campaign that sends only from them ("“Q4 Outreach” sends only from these mailboxes, so it is paused until you pick another."). "Delete N Mailboxes" confirms.
  2. Read the result: "Deleted 2 mailboxes. Paused “Q4 Outreach” — it had no other mailbox. Pick another mailbox for it, then resume it." Deleting from a mailbox's own page takes you back to the Mailboxes list, which says the same ("Deleted sam@acme.co. Paused …").
  3. If a campaign sent only from what you deleted, open it (its entry on Notifications links there): a red alert names the mailbox and when it went, and "Pick mailboxes in Settings → Mailboxes" takes you to pick one — for a Multi Channel campaign, pick one in Edit campaign → Senders. Pick at least one, then resume the campaign.
  4. To keep the mailbox but take it out of campaigns: open it → ⋯ → "Remove From All Campaigns" (or Management → Danger Zone → "Remove"). The dialog says how many campaigns it leaves and which it stays in; click "Remove".
  5. Read the result: how many campaigns it was removed from, any it was kept in, and how many campaigns that use all mailboxes still send from it.

Good to know

  • Remove From All Campaigns takes the mailbox out of every campaign that picked it, except a campaign where it's the only mailbox picked: a campaign with no mailboxes picked rotates across all of them, so removing it there would widen that campaign instead. Those are kept and named — pick another mailbox in that campaign's Settings → Mailboxes first if you want this one out.
  • Campaigns that picked no mailboxes rotate through every active mailbox, this one included, so removing can't take it out of them. Pause the mailbox to stop those sending from it.
  • Deleting a mailbox that a campaign picked alongside others just takes it out: the campaign carries on with the rest. Campaigns set to use all mailboxes carry on with the ones left.
  • A campaign whose picked mailboxes are all deleted is not switched to all your mailboxes (an empty pick list would otherwise mean exactly that). A sending campaign is paused; a draft stays a draft and a paused one stays paused. Each carries an alert — "Its only mailbox, sam@acme.co, was deleted." (or "Both its mailboxes…" / "All N of its mailboxes…") — shown in red on the campaign's pages (for a Multi Channel campaign, its page and the Senders step of Edit campaign), with a "No mailbox" tag on the Campaigns list or a "No mailbox — …" line under its name on the Multi Channel list. Finished and LinkedIn campaigns are left alone, as is one whose steps are only calls or LinkedIn touches.
  • Until a mailbox is picked the campaign can't be launched or resumed: Final review's Mailboxes check fails, and Resume or Launch on its pages, on the Campaigns or Multi Channel list or through Claude is refused with "Pick at least one mailbox in Settings → Mailboxes before resuming — its only mailbox, sam@acme.co, was deleted." (a Multi Channel campaign says Edit campaign → Senders). Picking at least one clears the alert.
  • Each campaign it paused also appears on Notifications → Campaigns ("“<campaign>” was paused"), and is emailed to the workspace when Campaigns is ticked under Settings → Notifications.
  • The same happens when a mailbox moves to another workspace (the MailFleet team assigning it to a client): the alert then reads "… is in another workspace now." The Assign to Client dialog says so before you confirm, and each campaign it paused lands on Notifications in the campaign's own workspace.
  • Removing it doesn't change what it already sent: its emails and replies stay in each campaign's reports.
  • Want it out of sending for a while instead? Pause it (row ⋯ → Pause Sending): no campaign, warmup or test email goes out from it while it's paused (replies you write in Replies still do), its settings, warmup and campaign picks stay, and replies keep arriving.
  • Deleting cannot be undone in the app; to bring the mailbox back, connect it again (it starts as Unverified and is re-checked).
  • Deleting removes the mailbox's daily-send counters; campaign send history stays attached to leads.
